ABOUT THE POSITION

The Special Projects Coordinator is a temporary role that will support its executive team during a pivotal period for the organization. This role will require a proactive and collaborative professional who excels in synthesizing complex information, managing competing priorities, and delivering results in a fast-paced environment.

The Special Projects Coordinator will report to the VP of Strategic Priorities & People while also working closely with the Director of Impact Integration and their respective teams.

This is a full-time, temporary contract with a hybrid schedule of three days a week at the Philadelphia office (located in University City) and two days virtual, with occasional schedule adjustments for after-hours events.

ROLES & RESPONSIBILITIES

  • Information Triage: Act as a conduit between executives, efficiently managing the flow of critical information, and ensuring timely follow-ups.
  • Meeting Documentation: Attend key meetings, capture detailed notes, and synthesize insights into concise, actionable bullet points. Create briefings and PPT decks for key meetings and events, when needed.
  • Task and Project Management: Oversee multiple projects and tasks simultaneously, ensuring alignment with priorities and timely execution of deliverables.
  • Timeline Oversight: Develop and maintain project timelines, tracking progress against milestones and identifying potential roadblocks.
  • Priority Management: Navigate competing demands by assessing urgency and importance, reallocating resources and adjusting schedules as necessary.
  • Collaboration: Foster productive working relationships across teams, ensuring that stakeholders are aligned and informed.


All Staff Responsibilities

  • Participate as an engaged member of the organization beyond core responsibilities including, but not limited to, participating in training/professional development, attending staff meetings/events, and contributing to the organization’s values-based culture building including diversity, equity, and inclusion (DEI) work.
  • Maintain skills and knowledge of industry standards, peer activity, and relevant media/publications and advise on key developments or areas that could impact the organization.

CANDIDATE QUALIFICATIONS

  • Demonstrated experience in project management or a related field, preferably within social impact organizations or mission-driven environments.
  • Exceptional organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Strong analytical and communication skills, including the ability to distill complex information into clear, actionable items.
  • High emotional intelligence and professionalism in engaging with senior executives and cross-functional teams.
  • Proficiency with project management tools (e.g., Asana, Trello, or similar) and standard office software.
