ABOUT THE HIVE
The Hive is Spring Point’s dedicated learning and convening space, designed to bring people together for thoughtful gatherings, collaboration, and shared learning. Located in Philadelphia, The Hive serves as a central environment where partners, leaders, and teams come together to engage in meaningful dialogue, strategy, and reflection.
More than a physical space, The Hive is an extension of Spring Point’s approach to impact — intentionally designed to foster connection, support learning, and create environments where ideas and relationships can grow.
The Events Manager plays a key role in bringing The Hive to life through the design and execution of convenings held in the space, while also supporting events that take place beyond it. This role partners closely with operational staff responsible for the space itself and external vendors, ensuring that each convening is thoughtfully designed and executed to reflect Spring Point’s standards for quality, care, and purpose.
ABOUT THE POSITION
The Events Manager (Convenings & Experience) reports to the Director of Learning and serves as the central owner of convening execution and experience across Spring Point. This role is responsible for designing and delivering high-quality, mission-aligned events that strengthen relationships, advance learning, and extend the impact of Spring Point’s work.
Programmatic and Learning teams define the purpose, content, and desired outcomes of convenings. This role partners closely with those teams to translate their goals into thoughtfully designed and well-executed experiences, ensuring consistency, clarity, and quality across all events.
From initial concept through post-event reflection, the Events Manager owns how convenings come to life — shaping the participant experience, managing execution, and ensuring each gathering reflects Spring Point’s standards for care and excellence. This role exercises independent judgment to manage priorities, navigate tradeoffs, and deliver strong outcomes across a range of event types and environments.
This is a full-time, benefits-eligible role with a fully onsite, five-day-per-week schedule. The role is primarily based at The Hive and also includes regular, ongoing onsite engagement at FMC Tower for meetings, employee events, and collaboration across teams. The position requires significant schedule flexibility, including evenings or some weekends, and occasional travel to events.
ROLES & RESPONSIBILITIES
Event Strategy Experience Design
- Serve as the central owner of convening execution and experience across Spring Point, partnering with teams to bring content and objectives to life through high-quality event design and delivery
- Partner with event sponsors to clarify objectives, define success, and design event structure and participant experience accordingly
- Design and deliver convenings that strengthen relationships, support learning, and extend the impact of Spring Point’s work
- Establish and uphold standards for high-quality, intentional, and participant-centered event experiences with SPP’s signature texture
Event Planning & Execution
- Lead planning and execution of in-person, virtual, hybrid, and offsite events across Spring Point
- Own event timelines, workflows, and execution plans, ensuring clarity and alignment across stakeholders
- Coordinate event-related vendors, logistics, and operational execution to ensure readiness across all venues
- Serve as the primary point of contact during events to address real-time operational or facility-related issues, engaging the Operations & Office Lead as needed
- Partner with operational staff to align event needs with space readiness, while maintaining ownership of event execution
- Oversee post-event breakdown, reset, and return to hospitality and operational standards following all convenings
Participant Experience & Service Excellence
- Champion a people-first, service-oriented approach to all convenings
- Ensure all participant touchpoints, from pre-event communication through follow-up, reflect care, clarity, and quality
- Create environments that are engaging, inclusive, and welcoming, supporting meaningful connection and participation
Venue Management
- Own and manage the Hive master calendar and space booking system
- Review and approve space requests based on capacity and mission alignment
- Ensure event spaces are prepared and guest-ready for scheduled convenings
- Oversee furniture standards, inventory, storage, and room configuration systems
Partnership with Operations & Office Lead
- Partner closely with the Operations & Office Lead to ensure event and facility needs are aligned across The Hive
- Communicate facility-related needs and coordinate support relating to building management, security, custodial services, vendors, and IT to help maintain high-quality and well-functioning environments
- Support coordinated vendor relationships and operational consistency across spaces
- Collaborate on safety, emergency preparedness, and accessibility protocols to support a safe and welcoming participant experience
Data, Evaluation & Continuous Improvement
- Implement and manage systems to track event data, participation, and feedback
- Utilize event platforms (e.g., Cvent or comparable tools) to support registration, communication, and reporting
- Analyze data and insights to assess effectiveness, improve future convenings, and ensure usage goals attainment
- Ensure post-event synthesis and follow-through to support learning, reflection, and continuous improvement
Operational Excellence & Decision-Making
- Establish and refine systems, tools, and workflows to support efficient and consistent event execution
- Identify opportunities to strengthen how events are designed and executed, and proactively recommend improvements to systems, workflows, and overall approach based on experience and insights
- Own event prioritization, timelines, and execution decisions, ensuring alignment with organizational priorities and resource constraints
- Exercise independent judgment to manage tradeoffs, address challenges, and guide events to successful outcomes
- Provide clear guidance on scope, timelines, and feasibility, helping teams align expectations and make informed decisions
Budget & Resource Management
- Develop and manage event budgets, balancing high-quality experiences with fiscal responsibility
- Develop and maintain budget guidelines and cost frameworks for different types of events, supporting consistency, planning, and informed decision-making
- Monitor expenses and vendor costs to ensure alignment with budget expectations
- Coordinate with internal teams to ensure accurate and timely invoice processing
Team Leadership & Support
- Supervise and provide direction to event staff, ensuring clarity of roles and responsibilities
- Lead onboarding and training of event staff to support consistent execution
- Plan and coordinate staffing coverage aligned to the event calendar, ensuring appropriate support for preparation, execution, and follow-through
- Provide real-time guidance during events to ensure smooth coordination and team effectiveness
- Foster a collaborative, accountable, and service-oriented team environment

CANDIDATE QUALIFICATIONS
We welcome a range of professional experiences, and at minimum, candidates should demonstrate:
- 5+ years of progressive experience in event management, hospitality, convenings, or experience-driven environments
- Demonstrated ability to design and deliver end-to-end event or participant experiences
- Experience managing vendors, logistics, and event operations across multiple stakeholders and environments
- Ability to operate in dynamic, fast-paced settings and exercise sound judgment under pressure
- Strong project management skills, including managing timelines, priorities, and competing demands
- Experience using data and feedback to improve processes and outcomes
- Experience managing budgets and making resource-informed decisions
- Ability to collaborate across teams and build strong working relationships
- Experience supervising or guiding event staff or support teams
Preferred Experience
- Experience in nonprofit, philanthropic, education, or mission-driven organizations
- Experience supporting learning-focused convenings or multi-day programs
- Familiarity with accessibility, equity-centered design, and inclusive hospitality practices
Education
- Bachelor’s degree preferred, or equivalent professional experience in event management, hospitality, or convening leadership
